- Vendors & Purchasers: Contact details, current property ownership details, desired property ownership details, and records of properties sold or acquired.
- Landlords & Tenants: * Employment details (status, employer name, salary, length of employment).
- Financial information, including other sources of income and bank details.
- Personal and financial references from referees.
- Identity verification documents as required by NSW law.
- Website Users: Technical data including IP addresses, browser types, and cookie information (see Section 8).
2. How do we collect your information?
We collect information directly from you (via website forms, email, or in-person) and from the following sources:
- Publicly available databases (e.g., Telstra White Pages, Australia Post DPID, Land Registry/Titles Office).
- Referrals and recommendations from existing clients.
- Credit-checking agencies and tenancy databases (e.g., TICA) as part of due diligence.
3. Why do we collect this information?
We collect and use your information for the following purposes:
- To provide real estate services, including property sales, rentals, and administration.
- To comply with local, state, or federal legislation (e.g., Property and Stock Agents Act 2002 (NSW)).
- To provide customer support and respond to appraisals or inquiries.
- To enable third-party partners (contractors, lawyers, or franchisees) to assist with ancillary services.

4. Automated Decision Making (ADM)
ADM occurs when a computer program makes a decision that significantly affects an individual.
- Our Use of ADM: We may use third-party platforms for tenant screening or lead prioritisation.
- Types of Information Used: Tenant history, credit scores, and employment data.
- Nature of Decisions: These tools may assist in assessing the suitability of a tenancy application or the ranking of potential purchasers for a project.
- Human Oversight: While we use digital tools to process data, final decisions regarding the acceptance of a tenancy or sale are made by our staff in consultation with our clients.

We will disclose personal information only for the purposes for which it was collected, including:
- Government Bodies: Titles Office, Revenue NSW, or the Residential Tenancies Bond Authority.
- Service Providers: Advertising agencies, signwriters, building/garden maintenance contractors, and professional advisors (accountants, lawyers, surveyors).
- Credit Checks: Authorised credit-checking agencies for prospective tenants/lessees.
- Legal Requirements: As authorised or required by law or a relevant government authority.
6. Overseas Disclosure
We may disclose personal information overseas in the following circumstances:
- Storage: We use cloud storage and IT servers that may be located overseas. It is not always practical to know every country in which information is held due to the nature of networked storage.
- Recipients: Where we use overseas-based virtual assistants or global marketing platforms (e.g., in the Philippines or USA), we take reasonable steps to ensure they comply with privacy standards similar to the APPs.
7. Anonymity and Pseudonyms
You may browse our website or attend auctions (without bidding) anonymously. However, various NSW Acts and regulations require us to collect personal information to identify you once you enter into a transaction (sale, purchase, or rental). If you do not provide the required information, we may be unable to provide our services to you.
8. Cookies and Technical Data
